5 signs your business has outgrown WhatsApp-only orders

WhatsApp is a brilliant way to start selling. Customers already use it, it's free, and you can reply from anywhere. But as orders grow, running everything from chats starts to cost you sales, time and sleep. Here are five signs it's time for a better system.

1. You scroll up to find orders

If you regularly scroll through old chats to remember what someone ordered, what size they wanted or where to deliver, orders will slip through. Every missed order is a lost sale and an unhappy customer who tells their friends.

2. You're not sure who still owes you

Deposits, partial payments and "I'll send the balance tomorrow" are normal. But if you can't answer "how much are customers owing me right now?" in under a minute, money is quietly leaking from your business.

3. M-Pesa messages don't match your orders

When payments arrive with different names, from relatives' phones or split into parts, matching them to orders becomes guesswork. Without the transaction code recorded against each order, disputes are hard to settle.

4. You forget to follow up

Your best future customers are people who already bought from you. If you never send a thank-you, ask for a review or share new stock with past buyers, you're leaving your cheapest sales on the table.

5. You can't see your numbers

Which item sells best? How much did you sell this month compared to last month? How many customers came back? If the answers live only in your head, it's hard to restock smartly or grow with confidence.

• One order sheet where every order gets a row: customer, item, total, paid, balance, M-Pesa code, status and delivery.
• WhatsApp Business labels such as New order, Awaiting payment, Paid and Delivered, so every chat has a clear status.
