How to track M-Pesa payments without losing your mind
For most Kenyan small businesses, M-Pesa is where the money lands. But a phone full of payment messages isn't a record. Here's a simple, reliable way to know exactly who has paid, who owes you, and how much.
Step 1: Separate business money from personal money
When business payments arrive on your personal line, they mix with rent, school fees and family transfers. A Lipa na M-Pesa Till or Paybill gives your business its own payment channel and cleaner statements. Ask Safaricom or your bank which option suits you.
Step 2: Give every order a row
Use one sheet (Google Sheets works on any phone) with these columns: date, customer and phone, item and quantity, total, paid, balance, M-Pesa code, status and delivery. Let a formula calculate the balance and status, so you never do the maths by hand.
Step 3: Record the transaction code
Every M-Pesa payment comes with a unique code. Copy it into the order's row the moment payment arrives. If a customer says "I paid", the code settles it in seconds, without awkward arguments.
Step 4: Do a 10-minute check every evening
- Open today's M-Pesa messages or statement.
- Match each payment to its order and fill in the amount and code.
- For any payment you can't match, message the sender the same day.
- List every order still marked Partial or Unpaid. Those are tomorrow's follow-ups.
Step 5: Set one payment rule and stick to it
Decide whether you need full payment before dispatch, or a deposit with the balance on delivery. Tell every customer upfront and apply it consistently. Clear rules prevent most payment problems before they start.
Step 6: Follow up kindly, on time
A short, friendly reminder two days after a missed balance works far better than a stressed message two weeks later. Save a few reminder templates as WhatsApp Business quick replies so following up takes seconds.
